5- Event Organizers
Event Organizers- to move the route from your personal account to your Org. Open the route, click on the “more” button, select “copy to my routes”. From the window you need to select the Org name. It will have the personal account there by default. click the “copy” button and the route will be sent to the Org route library. The name will have the word “Copy” appended- you can edit it to remove it.
To get from your personal account to the Org click on the picture icon of you, or go to you profile and you will see you are a member of the organization. You can click this as well. this sends you to the event login account page. click the “sign into organization” button and sign in.
Go to your routes library and verify the new routes are there.
Rename them as appropriate by clicking on the route name and doing the edit. You need to be logged into your library account in order to see your current routes and rename them.
You can edit the routes in your route library using your organization login. IMPORTANT! Remember the routes in your route library are separate from the routes in your personal account. If you have the original route in your personal account, and move it to your organization, and do lots of edits, the edits are only on those routes in the org. Your original route remains in your personal account.
Create the event
From your home page as the organizer, click on the “Events” button. It will take you to the events page where you will see your events listed. Now click the little button that says “Create event” with a small pencil next to it.
Select “Event with Routes”
Name the event. Remember at an endurance ride there can be multiple events. For example the 25 mile ride is an event, the 50 mile is another event. The intro ride is a third event. If it is a two-day ride offering the same distances you will have 6 events. Each event has a combination of different routes.
Click the “add routes” button. From the little box at the lower left chose your route then click add route. Select the next route needed and click “add route” again. you will see a list of the routes set for that event.
Pro Tip! It is important to add the routes in the order they need to be ridden in. for example, if there are three loops there are three routes, one named for each loop. Be sure the routes are listed in the event in order of how they should be ridden.
Click the “edit event details” button. You have to fill in this information to save the event. You can modify the event name, dates, who can see it and some other things. Be sure to fill in a value for the location field. City, location, fairgrounds, etc. You MUST select an event organizer for the event to be saved. Click in the field, type in three letters of the person’s name and it will find them. Select and then click “save”. You now have an event.
Send the riders the link to the event. From the event page click on the “invite participants” button. It will give you the link to send to the riders. They click on the link and are invited to the event. The event organizer clicks on the manage participants button and they will see who has clicked and is registered for the event. You can turn the traditional URL into a nice clear worded link that the riders can click on.
